April has been a busy month for us at
EconoAccounting. We have had some great reviews in the media, and almost been
inundated with requests for our trial CDs. We have also given presentations on
EconoAccounting in Durban and Johanesburg. It is always nice to meet future
customers, and existing customers. You, our customers are important to us in
more ways than just your purchase! You help us in developing and improving the
software, not only by adding features but making it more user friendly.
How
EconoAccounting is Going to Make you Even More Money
I
saw an advert for a small business for sale. I called the business
broker, and he explained the business in more detail to me. The
turnover and profits seemed interesting enough to want to take further.
Then I asked the 64 million dollar question "Do they have financials or
management accounts?"
The broker laughed so hard I thought the phone was going to break. No,
he said, this is only a R400 000 sale. If you were going to buy a
business for R25 million, you could expect audited accounts. He said
that some of the money (this is partially a retail business) is put
straight into the owner's pockets. When cash is paid, the owner uses it
to pay wages every week rather than put into the bank one day and out
the next.
I asked how they could prove their turnover and profits, and he said I'd need to do my own due diligence (i.e. sit in the
business counting turnover).
I have instantly decreased my value of this business, and they are
automatically going to get far less for their business than they would
deserve had they got their admin up to date. They are only too happy to
allow me to sit in their business and show me their confidential
details, so they are not trying to "rip me off" by sellng a business
that does not exist.
The owner is going to lose a lot of money in the sale of his
business - only because he does not have financials.
The turnover figures that the broker gave me is now also suspect, and
certainly I'll query the profit. This I stress, is not because the
owner is deliberately trying to mislead, but because he has absolutely
no idea of what he is really making. He thinks he takes home about R30
000 per month, so that is the profit he mentions.
- Does he take into account tax? No.
- Does he calculate VAT correctly? No.
- Does he pay his staff accurately? No.
- Does he claim his expenses accurately?
No.
- Does he prepare any financials for
himself? No.
- Does he know which aspect of his
business is successful? He thinks so, but
NO.
- Does
he know where the business is weak.He's got a "gut-feel",
but NO.
- The business has great growth potential (it is in a
high growth industry), but does he know how to grow it?
No.
The business employs 7 people including the two owners, and operates
from a well-known high class shopping centre, so in effect it is not
that small.
What should he have done? He needs
financials for his own purposes. He needs financials to show potential
buyers and prove his performance. If he really is making R30 000 per
month, this is R360 000 profit per year. On a 3 times PE ratio this
values the business at R1 080 000. He is only asking R400 000 for the
business, incurring a potential capital loss of over R600 000. In the
end he will probably not even get R400 000 for the business!
How could we have helped him? By using EconoAccounting he could have kept his own accounts up to
date in just 5 minutes per day.
- Would he have sold for more money? Yes.
- Would it have been easier to sell? Yes.
- Would his business have been more profitable?
Yes.
- Would he have been able to cut his losses had he discovered some
anomaly in his business?

how fast the year has gone. The budget has been presented and there is
slight relief for small businesses. Year-end for many of you has

Why reconciling a
bank account is so
important.
EconoAccounting's
key feature is reconciling the bank account. Many people wonder at our
fixation on this point.
Simple:
A
reconciled bank account is the starting point of doing your accounts.
If your accounting system does not fully reconcile your bank account,
then it means that there are financial transactions gong through your
bank account that are not recorded in your accounting system. This
implies that there are either expenses or deposits that have not yet
been recorded. At the same time there could be VAT implications - VAT
on expenses is not being captured and your VAT report will be wrong.
EconoAccounting
requires you to reconcile the bank account before proceeding further.
At
least we then know that all bank transactions are captured correctly,
no typos, no forgetting to capture one line of data. The balance sheet
we produce proves that the bank account value is exactly what the bank
says it is. This gives extra credibility to your accounts - allows you
to know that your data is accurate.
Another key
reason for reconciling your bank account is to check your bank. You
need to ensure that no unauthorised transactions go through your bank
account. Do you remember a couple of couple of years ago there was a
hacker in Cape Town? He stole someone's password and then proceeded to
remove about R450 000 from the company's ABSA bank account (it was
actually a law firm). He used the money to pay for computer equipment.
This fraud was only picked up by the company's bookkeeper/accountant
SIX weeks after it had occurred. In the end ABSA did pay back the
money, but I wonder how a company could have not missed nearly half a
million Rands from its bank account! It is obvious they did not
reconcile their bank account, and they were not users of
EconoAccounting! Had they been they would have instantly seen the
transfer, and they would have had to allocate that expense to the right
account. Had they allocated this expense, even if to computer
purchases, and then used EconoAccounting to produce a balance sheet,
surely someone would have asked about an extra R450 000 appearing in
their income statement?
Why petty cash is so
important
How much money do you pay out of your own pocket each day? How much do
you spend on small items such as parking fees, toll fees, even having
coffee with clients? How often do you visit the local Postnet or print
shop for a photocopy, or buy a newspaper or magazine at the
airport? How
often do you give money to a staff member to buy stamps or milk or
sugar? How many times do you pay for expenses using your personal
credit card?
Many small
business owners spend way too much money on petty cash and then do not
claim
it back. We have seen businessmen/businesses spend up to R200 a
day on
'petty items". One client had R14000 worth of
slips from various shops - all genuine expenses that had never been
claimed.
This is a
total waste of money, and it affects you the business owner as well as
your business. If you do not claim your expenses, you will be out of
pocket. Your salary/drawings is still taxed by the taxman, and in
addition you
are paying out money to your business. From the business's viewpoint,
it is showing higher profits (because it is recording lower expenses).
This is BAD. The excess profits are being taxed at 29% or
previously
30%, when the expenses should have been incurred in the business. At
the same time, some of the petty cash items are VATable, bear input vat
and could have been claimed in your VAT return. Again money is
being lost for no good reason.
Is petty
cash so difficult to manage? YEs, if you do it once a year. NO, if you
do it once a day, just as you should be doing your accounts every day
for 5 minutes. EconoAccounting makes it so easy to capture your petty
cash. Unfortunately you cannot import your petty cash expenses, like
you do your bank statements!
The procedure is as follows:
Create a petty cash account in the chart
of accounts. Make this account a Bank Account. (It is a bank
account -
you, the owner are bank rolling your own business.) Choose Petty cash
account as the type of bank account. Yyou are ready to begin
recording your petty cash and save thousands per month. Incidentally we
sometimes like naming this account "Loan from owner" rather than "Petty
cash" as this is really what it is - you are financing your
business, and eventually you want to get that money back! At the worst
you want to record that the business does owe you the money.
You
obviously need to keep all your receipts and invoices proving the
expense. Every day when you do your accounts, you should go to the
Cashbook, choose the petty cash account - or
loan from owner account - and add the few transactions in that you have
made
the previous or even the current day. To add say three transactions and
allocate them to the rightful expense and include VAT where relevant
each day will take you no more than 90 seconds!
Is it
worthwhile spending 90 seconds ensuring the accuracy of your petty
cash, ensuring that your own claims are accurate and the business has
correct accounts? Even if you are only claiming a R10 parking voucher,
it IS
worthwhile doing it.

procedure (refer to January
newsletter - just print out your trial balance, balance sheet and
income statement and your job is done.
As a matter of interest we had clients phoning us on Tuesday 1st March
telling us that their accounts for the financial year ended 28th
February were up to date and ready to go to their accountants. I wonder
how their accountants felt receiving such hot off the press
information. It made us feel great!
News:
The next update to EconoAccounting will be ready to be downloaded
within a week
or so. As always it will prove beneficial. However it is not
essential to
upgrade each time we issue a new version. You may choose to upgrade if
there is
a feature you specifically need. All upgrades automatically upgrade you
from
whatever version you are using without any hassle.

onto your

One of the key aspects of EconoAccounting is to continue

Question:
When I try to change or add an old transaction, the system does not
allow me to update?
Answer:
You have the freezedata feature enabled. Freezedata does not
allow you to change data that is older than your freeze date. To change
the freeze date, go to File/Set Defaults/Freezedata.
Question:
My customer is a bad debt, how do I process this?
Answer:
Various ways - some easier than others. Also please refer to your
accountant or financial advisor.
The easiest way is to issue a credit note.
An alternate way is to pass a journal. Go to Edit Journals, choose
DEBTORS. Then ADD a transaction. Because your intention is to DECREASE
debtors, use a negative value, being the amount of the bad debt. Use a
description like "Bad Debt written off". When adding the transaction,
include the CONTACT, as well as the Invoice Number being written off.
The CONTRA account for this transaction is INCOME, and then remember to
include VAT, so that also decreases your VAT liability.
NB. It may be necessary to create an account called BAD DEBT WRITTEN
OFF, and allocate the various journal entries via this new account.
Our approach is not to complicate the issue, but if your accountant
or financial advisor wants it this way, ask him/her to call us.
Question:
It is nearly year-end for me. Is there anything I need to do in
EconoAccounting?
Answer:
No, not really. EconoAccounting does not require you to run
year end procedures. On 28th February you should make sure your
accounts are up to date as always, bank account imported etc. As at
close of business on the 28th February, you should manually capture
any cheques you have written out that have not been presented for
payment, as well as deposits you have made that are not yet
reflected in the bank statement. It is worthwhile capturing your
creditors to get a closing figure, and you should do a stock take.
At the same time, make backups, and keep this backup separate from
your other backups so you can easily call it up if you need any
information.
EconoAccounting TIPS and TRICKS
Contacts contain some very useful
features: We have over 4000
contacts in our contacts list. We store our customers, suppliers,
and leads in this database. If we did not have EconoAccounting, we
would have had to purchase some complex, expensive CRM system.
1) Use
Categories in contacts to manage your customers, suppliers. We even
use the category feature to manage this very mailing list. We have
created a category called NEWSLETTER, and all contacts, who are
part of this category will be emailed the newsletter. (For the actual
emailing we use our other product EconoMail).
2) The task
manager in contacts helps us manage our day, just like a calendar or
diary. Every time someone phones we try to record it in the task
manager, especially support calls so we can build up a
knowledgebase.

In line with our policies, this is a free upgrade. It may be

As always, download the EconoAccounting.zip file and then unzip
it into the c:\program files\econoaccounting\ folder (or to
whichever folder you originally installed EconoAccounting).
Some of the new and improved features include:
A new financial analysis screen: This produces your income
statement and balance sheet within the program, it is not only
exported to Excel. The new report allows you to optionally
include all accounts from your chart of accounts in the
financial statements, even if they have zero balances. This
means that reports can be analysed on a monthly basis and
patterns will emerge.
Improved debtors system:
- We now support both open item and balance brought
forward.
- There is an option to print all customer statements in
addtion to printing one at a time.
- The statements can be based on a particular date
Project Management: By allocating each transaction to a
contact in the cashbook screen you are able to do easy, simple
project management - i.e. see how much any one project is
costing and profits earned. The new financial analysis screen
allows you to view an income statement for each contact/project.
This is a feature that even very expensive packages do not have,
and none make it as easy as we do.

Price increase: The price

know that your investment in software has actually appreciated!
Support
If you have not done so
already please download and then install the FIXDATA program. Sometimes the
accounting database becomes corrupted and does not save your data. This only
happens if there is a power failure, your PC gets rebooted in the middle of a
transaction, or the program crashes. It will then be necessary to run the
FIXDATA program to repair the database. There is a new improved
FIXDATA program.

SA cc has not only produced EconoAccounting. We have produced and are
marketing our EconoMail and EconoSMS.
EconoMail
sends out multiple e-mails without using Outlook to pre-determined lists. The
associated problems (undelivered and bounced messages) in sending out
multiple e-mails are overcome when using this product.There is a
facility to export EconoAccounting contacts by category and import them into
EconoMail. If you have categorised your contacts eg, Customers/Leads - a
different e-mail can be sent to your customers as to your leads. This e-mail
has been sent via EconoMail.
EconoSMS
allows you to send out multiple SMS's directly from your PC. This is a low
cost way of communicating with your staff, customers, suppliers, etc. Use it
to send reminders, short messages and general information. You can send 1
message to a group of people. Remember that a telephone call takes time and
can cost R2 - R3.00 whereas you can generate many SMS's in seconds and each
SMS can cost as little as 22c.
